DeepL app decision matrix
Overview

DeepL is the translator most bilingual labs already trust for accuracy, with a free plan and a desktop app. Pick it for translating protocols, emails and short documents. Move to a paid Pro plan before you paste anything confidential, because only Pro guarantees your text is deleted after translation rather than used for training.

Other good fits
  • Editing your own English writing with DeepL Write before sending it to a journal, funder or partner lab.
  • Building a glossary so species names, reagent names and abbreviations translate the same way every time.
Pros
Read pros

DeepL translates text and documents between more than 30 languages in a web translator, a Windows/Mac desktop app, browser extensions and mobile apps. It reads consistently more naturally than older machine translation for European-language pairs, which matters when a translated protocol or email has to sound professional rather than mechanical. DeepL Write, a separate but related tool, checks grammar, tone and style in your own writing rather than translating it.

Pick it when

  • You need a translated protocol, consent form or supplier email today, not next week from a professional translator.
  • You want one glossary entry to fix how a reagent name or lab term always translates, instead of correcting it every time.
  • You're drafting in a second language and want DeepL Write to catch grammar and tone before you send the email.
Cons
Read cons

The free plan is the wrong place for anything a lab or company would not want to see reused for training; that includes unpublished results, patient or participant data and internal financials. DeepL is a translator, not a fact-checker: it can mistranslate a technical term it has not seen before, and it will not flag a wrong unit conversion in the source text. Team and Business features like SSO, bulk file translation and translation memory are locked behind the higher tiers, so a single Individual seat will not cover a lab that needs shared glossaries and audit-friendly billing. There is no self-hosted or offline version.

Pick something else when

  • You need free-tier translation without ever training on your text: no free DeepL tier offers that; go straight to Individual or Team.
  • Your organisation already has Microsoft 365 or Google Workspace with a built-in translator covered by an existing data agreement: check with IT before adding DeepL.
  • You need a chat assistant to also summarise or restructure the translated text, not just translate it: use ChatGPT or Claude alongside DeepL, translating first and summarising second.

Avoid if

  • You need translation memory, SSO or bulk file translation for a whole team; that needs the Team or Business plan, not Individual.
  • You need a fully offline, self-hosted translator; DeepL only runs as a cloud service, an app or a browser extension.
Workflow

Pick the free web translator for a one-off, non-sensitive paragraph → switch to the desktop app or browser extension for repeated translation inside your normal tools → add a glossary once you notice a term translating inconsistently → move to a paid Pro plan as soon as the text is confidential or the free character limit gets in the way → always re-read the translation against the source before sending it onward, especially numbers and units.

On every paid Pro plan, submitted text and documents are deleted after translation and are not used to improve DeepL's models; the free plan explicitly trains on your text for a limited period. There is nothing to install for the web version; the desktop app and browser extension update themselves. The ongoing effort is re-checking numbers, units and names in anything DeepL translates, and remembering which plan tier your team is actually on before pasting sensitive material.

Restrictions

Free-plan text is used "to train and improve our neural networks and algorithms" for a limited period; only paid Pro plans contractually delete submitted text after translation and exclude it from training. Handling personal data on a Pro plan requires a data processing agreement with DeepL.

Translate a one-page lab protocol into a colleague's working language and check nothing changed in the numbers. The book Translating lab documents without losing precision walks through this.

  1. Take a one-page SOP or protocol excerpt with at least three quantities (volumes, temperatures, times) in it.
  2. Paste it into DeepL's free web translator and generate the translation.
  3. Add the two or three reagent or method names that must stay exact as a glossary entry, then re-translate.
  4. Compare every number, unit and reagent name in the translation against the original, line by line.
  5. Ask a colleague who reads the target language whether a sentence reads awkwardly.

Done when every quantity and reagent name matches the source exactly and a native reader confirms the sentences read naturally, not mechanically.

Alternatives and trade-offs

  • ChatGPT or Claude can translate too and will restructure or summarise at the same time, but neither gives you a dedicated glossary feature or DeepL's translation-specific accuracy for technical European-language pairs.
  • Open WebUI in front of a local model keeps translation entirely on your own machines when nothing may leave the lab, at the cost of noticeably lower translation quality than DeepL.
  • Your institution's or publisher's own translation service may already be contracted and audited; check before adding a new vendor for anything regulated.

DeepL is a machine translation and writing-assistant service with a web translator, the DeepL Write editing tool, desktop apps, browser extensions and mobile apps. The free plan translates text and one document a month in the browser; paid Pro plans raise the limits, add glossaries, and guarantee submitted text is deleted after translation rather than used for training.
