Decision matrix

Directus app decision matrix
Overview

Directus wraps an existing SQL database with a REST and GraphQL API plus a no-code admin panel, self-hosted for free (small qualifying organisations can get a fully free grant) or on Directus Cloud from $99/month for hosting. Pick it when you already have or want a real database and need editors and developers working from the same data without duplicating it.

Other good fits
  • A small organisation (under $5M revenue, under 50 employees) that can self-host for free under Directus's Open Innovation Grant.
Pros
Read pros

Directus sits on top of an existing SQL database and exposes it as a REST and GraphQL API, with an admin panel non-developers can use to browse and edit the same data. Instead of building a separate CMS or admin backend, you point Directus at your schema and get API access, permissions and an editorial UI for it.

Pick it when…

  • You already have (or are planning) a real SQL database and want an API and admin screen over it, not a new proprietary data store.
  • Developers need programmatic access (REST/GraphQL) while editors need a usable screen, from the same underlying data.
  • You want the option to self-host for full control, with a managed cloud add-on if you'd rather not run the database and API yourself.
Cons
Read cons

Directus adds a layer over your database; if your data needs are simple enough for a purpose-built app builder with its own data store, wrapping a real database in an API might be more setup than the task needs. SSO and some governance features are gated to Team or Enterprise, not available on the free Core tier or plain self-hosting.

Pick something else when…

  • You don't want to manage a database at all. Base44 bundles its own data store, no schema design required.
  • You want a visual app builder rather than an API layer over existing data. Bolt.new generates a full app instead of an API and admin screen.
  • You want a content system your team edits every day. This curriculum started on Directus and moved to Payload CMS, a code-first headless CMS, because we wanted content types, versions and publishing rules defined in our own code and reviewed like code.
  • The automation, not the data layer, is the point. n8n or Activepieces focus on workflow, not database access.

Avoid if

  • You need the Enterprise-only features (SAML/OIDC SSO, offline mode) but can't justify a custom-priced plan.
Workflow

Connect Directus to an existing (or new) SQL database → define collections and permissions in the admin panel → let editors work through the no-code interface while developers call the REST or GraphQL API → add Flows (automation) for anything that should happen on a data change → choose self-hosting or Directus Cloud's managed hosting add-on once the setup is proven.

PlanPriceWhat you get
Self-hostedFreeFull software, you run the database, API and admin panel yourself
Core (Cloud)Free, 14-day trial framing3 user seats, 25 collections, 5 flows, AI Assistant, community support
Team (Cloud)$499/month annual, $599/month monthly10 SSO seats, 50 collections, 20 flows, basic support
EnterpriseCustomCustom SSO seats/collections, unlimited flows, SAML/OIDC, offline mode

Self-hosting is free software; a Directus Cloud hosting add-on for Core or Team costs $99/month if you'd rather not run the database and API yourself. Organisations under $5M revenue and 50 employees can get a fully free self-hosted grant (the Open Innovation Grant) with no software cost. The ongoing effort of self-hosting is the same as any database-backed service: backups, updates and access control.

Restrictions

SSO (SAML/OIDC) needs the Team plan, Enterprise, or the Open Innovation Grant; it isn't available on the free Core tier. The Open Innovation Grant's eligibility is capped at $5M annual revenue and 50 employees; larger organisations pay for self-hosting the same way they'd pay for Cloud.

First project

Documentation-based suggestion — not run here.

Point Directus at a small made-up database, three tables for a fictional workshop series (sessions, attendees, materials), then build one Flow that sends a notification when a new attendee row is added. Use the admin panel to add and edit a few rows without touching the API directly.

Done when a non-developer can add an attendee through the admin screen, the Flow fires correctly, and you've confirmed the same data is readable through the REST API.

Alternatives and trade-offs

  • Base44 wins when you don't want to design or manage a database yourself.
  • Bolt.new wins when you want a generated app, not an API layer over existing data.
  • Payload CMS (no catalogue page) wins when you want the content model, versions and publishing rules in your own code; it's what this curriculum runs on.
  • n8n wins when the real need is workflow automation rather than a data API and admin screen.
